Moving off spreadsheets: a calm migration plan
Plenty of firms run for years on spreadsheets, shared folders and email. It works, until the firm grows and the cracks show: version confusion, lost time entries, and knowledge that lives in one person's head. Moving to proper case management software does not have to be a leap into the unknown.
Start with what you actually have
Before migrating anything, list your live matters, your active contacts, and where documents currently live. Most firms find the real, active dataset is smaller and messier than they feared, which makes the move more manageable.
Move in the right order
Migrate contacts and matters first, then documents, then open time and billing. Doing it in that order means the structure is in place before the detail lands on top of it.
You do not have to migrate ten years of history on day one. Bring across what is live, and archive the rest where it is. Perfect is the enemy of moved.
Run in parallel briefly
For a short window, keep the old approach readable while the team settles into the new system. A clean cut over is cleaner still when people have had a week to find their feet.
Get help with the heavy lifting
A good vendor helps with migration rather than leaving you to it. Ask, during evaluation, exactly who does the work of bringing your data across and how long it takes.
Measure the win
Within a few weeks you should see the payoff: time captured that used to be lost, documents found in seconds, and a single place where the state of every matter is clear.
