Choosing legal case management software: a buyer's checklist

Buying case management software is a decision your firm lives with for years. The demos all look good, so the real work is knowing what to ask underneath the polish. Here is a checklist that keeps an evaluation honest.

Does it fit how your firm actually works

Software should adapt to your practice, not the other way around. Ask to see your own kind of matter set up during the demo, with your reference format and your workflow. If the tool can only show its own sample data, that tells you something.

Is capture genuinely fast

Time and notes only get recorded if recording is effortless. Time how long it takes to log a time entry and add a note to a matter. If it is more than a few seconds, adoption will suffer no matter how good the reports look.

Where does your data live, and who can reach it

For a law firm this is not a technical footnote, it is the foundation.

  • Is data encrypted in transit and at rest
  • Is access role based, with a full audit trail
  • Are there regional data residency options
  • How does the vendor handle UK GDPR or the DPDP Act 2023

Ask the vendor to describe, in plain terms, exactly who could access your client data and under what circumstances. A confident, specific answer is a good sign.

Does it connect to the rest of your stack

A case management system that cannot talk to your email, accounts and signing tools becomes another island. Ask which integrations exist today, which are on the roadmap, and how billing exports reach your accounts system.

What does leaving look like

The best time to ask about export is before you sign. Can you get your matters, documents and contacts out in a usable format if you ever move on? A vendor confident in their product will answer this happily.

The questions vendors hope you skip

  • What is the true cost per user once everything is included
  • How long does onboarding really take, and who does the work
  • What happens to pricing at renewal
  • How is support delivered, and by whom

Rate each candidate out of five on fit, speed of capture, security, integrations, and exit. The tool that wins should be strong on all five, not brilliant on one and weak on the rest.
